Registration and onboarding in the eInvoicing portal

To use eBill or B2B e-invoicing, you must log in/register just once via the eInvoicing portal.

  • If you already use e-finance, logging in to e-finance will take you directly to the registration page
  • If you do not have an e-finance login, you will need an e-mail address and smartphone with an authenticator app to register

Once logged in/registered, you will be guided step by step through the onboarding process in the eInvoicing portal.

What you need for onboarding in the eInvoicing portal

To ensure a quick and seamless onboarding process, good preparation is key. You will need:

  • An authenticator app: if you do not have a PostFinance e-finance login, you will require an authenticator app for 2-factor authentication. If needed, you can download this during the registration process. If you already have an authenticator app, you can use that.
  • Test invoice: please have a sample invoice (payment part) with your bank details at the ready so you can upload it during the registration process to verify your bank details.
  • E-finance login details: keep your e-finance login details handy if you already have an account. If not, a new login will be created for you.

Useful information: If you have trouble registering, delete your browser history and try again.

Using the eInvoicing portal properly: an overview of the key features

With or without business software (ERP): the eInvoicing portal is your central platform where you can adjust settings for sending or receiving eBill, B2B e-invoices and Paper Bill. This platform also lets you manage and filter your users, analyse transactions, upload invoices and much more.

  • In the “Settings” section, you can manage and modify customer data and contact details yourself and adjust other administrative settings.

    Manage address and customer data

    Manage your address and customer data so that the data shown is accurate and up to date when you search for contact persons.

    Edit credit accounts

    Add, edit or remove credit accounts.

    Important: always use the same IBAN you use for invoicing.

    Configure the display options

    Decide whether and how to display your company in eBill and the The link will open in a new window eDirectory.ch directory. For example, you can specify your display name here. This is especially useful for distinguishing between different IDs and if your company issues invoices under another name.

    eBill registration form and logo management

    Modify the eBill registration screen and logo for all supported languages. Even if you use the same logo, it must be added for every language.

  • User administration

    In your user account, you can add and remove users who have access to your invoice management in the eInvoicing portal and assign or revoke administrator rights. This gives you complete control of authorizations at all times.

    How to add new users as an administrator:

    1. Log in with your admin account
    2. Open user administration
    3. Select the option “Add user”
    4. Enter the new user’s e-mail address
    5. The new user will receive an e-mail with instructions on how to register
    6. Once they have registered successfully, you can activate the new user as administrator

    Biller ID/payer ID management

    In your user account, you can access various biller and payer IDs . Simply click on the relevant ID in the top right-hand corner to use and manage it.

  • Use the recipient directories for B2B e-invoicing and eBill to keep your recipient lists up to date with ease – all directly within the eInvoicing portal.

    eDirectory for B2B e-invoicing

    If you use B2B e-invoicing as an invoice issuer, you can use the directory The link will open in a new window eDirectory.ch to search for recipients who are able to receive B2B e-invoices and add them to your recipient directory. This is crucial in order to create and maintain the recipient directory before uploading PDF invoices or before manually creating invoices, as otherwise invoices cannot be assigned correctly.

    Please note: you require an admin role to create and edit the recipient directory.

    Look-up for eBill

    As an eBill invoice issuer, you can use the look-up function to check whether private individuals or small companies wish to receive eBill invoices. To do so, enter the recipient’s e-mail address or company ID number. If a hit is found, the next invoice can simply be sent as an eBill.

    Paper Bill – digitize invoice recipients

    If you use Paper Bill, you have two reports to choose from in the eInvoicing portal under “Downloads”:

    • The eDirectory look-up report, which can be used to identify potential B2B e-invoice recipients
    • The eBill look-up report, which shows you who is already registered for receiving eBills

    This allows you to easily identify invoice recipients who could potentially switch from paper to digital invoices.

  • Invoice mailing

    If you use software that has an interface with PostFinance, you can send your invoices directly via your ERP and track delivery there as well.

    Otherwise, you can transfer your invoices in the eInvoicing portal in the following formats:

    • XML upload
    • PDF upload  (Find more information about the required naming formats and fields in the The link will open in a new window e-invoicing manual)
    • Manual invoice entry

    Receive invoices

    If you use software that has an interface with PostFinance, you can receive your invoices directly in your ERP.

    Alternatively, you can receive and download your invoices in the eInvoicing portal.

  • You can view the status of all your invoices in the processing log and track whether they have been sent successfully. If your software has an interface with PostFinance, you can access this information directly in your software. Otherwise, you can do so in the eInvoicing portal under “Downloads”.

    Alternatively, you have the option of using the “Search invoices” function in the eInvoicing portal to verify the details of individual invoices.

    You can also view the eBill registration/deregistration logs in the same place to find out which invoices recipients have switched.

  • You can choose between an administrator role and a standard role.

    Administrator role: Users with an administrator role have automatic access to all BillerIDs and PayerIDs for the selected customer. They can also use the following functions:

    • User administration
    • Modify billing address
    • Add or delete credit account
    • Add BillerID/PayerID
    • Manage eBill registration screen

    Standard role: Users with a standard role have access solely to the BillerID and PayerID for which they have been authorized by the administrator. They can use all functions, excluding the administrator functions outlined above.

  • We recommend using Google Chrome.

  • Yes. The eInvoicing portal is also suitable if you send or receive only a limited number of digital invoices and do not use any software.

    You have the following options in the eInvoicing portal:

    • Enter invoices manually for digital mailing
    • Upload a PDF invoice for digital mailing
    • Receive and download digital invoices
